Zoom: Managing disruptions during meetings

Updated 03-31-2020

Description of the video:

Due to recent trends involving uninvited meeting attendees compromising Zoom sessions,

it's important to be aware of the tools Zoom offers that can help minimize any disruption caused by unwanted guests.

In this video, I'll be covering a few of the most essential tools that will help manage disruptions during Zoom meetings.

These tools are available to meeting hosts - in order to have access to these tools, you'll need to be logged in to Zoom.

For help with logging in to Zoom, view the video Logging into Zoom Using Single Sign-On.

One way to prevent unwanted disruptions is to disable participants from sharing their screen.

This can be done once you've started a meeting.

To prevent participants from sharing their screen, in the menu at the bottom of the Zoom meeting window,

click the arrow next to Share, then in the menu that appears, click Advanced sharing options.

In the Advanced Sharing Options dialog box, under the Who can share? heading, select the radio button for Only Host.

After that, you can close the Advanced Sharing Options dialog box.

If you do end up with an uninvited attendee in your Zoom meeting, you can remove them.

To prevent them from returning, you'll first want to ensure that any participants removed from a meeting can't rejoin the meeting.

This is covered in the video Tools for Securing Zoom Meetings.

First, you'll need to view the participant list. To do this, in the Zoom menu, click Manage Participants.

The participant panel will display.

To remove a participant, in the Participants panel, hover over the participant's name and click More.

In the menu that appears, click Remove.

In the dialog box that appears, click OK to finish removing the participant.

If you previously disabled the ability for removed participants to rejoin the room, the removed participant will not be able to return.

To prevent uninvited attendees from entering your meeting, you can lock the meeting once it's been started.

Once a meeting is locked, no one else can join.

This means if a participant arrives late or loses connection to your meeting, they can't join the meeting,

so keep this in mind if you plan to use this feature.

To lock a meeting, in the Zoom menu, click Manage Participants. The participant panel will display.

In the bottom right corner of the Participants panel, click on More, and in the menu that appears, click Lock Meeting.

In the dialog box that appears, click Yes to finish locking the meeting.
